At SAIC Ltd, we are committed to maintaining the trust and confidence of our customers & visitors. Here you’ll find information on how we treat the data that we collect.

The information we collect

The personal data we collect about you includes the following:

  • Information that you provide by filling in forms on our site, saic-uk.co.uk. This includes information provided at the time of registering to use our site, making an enquiry via our contact form, or messaging us using our online chat feature. We may also ask you for information when you enter a competition or promotion sponsored by us, and when you report a problem with our site.
  • Ordering information – including your name, company, address, email address and contact number. You may also input your debit/credit card details in our checkout to complete a purchase. All of this information is required by us as part of the ordering process.
  • We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
  • Details of your visits to our site including, but not limited to, traffic data, location data, weblogs and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access.

How we use the information

We use personal data held about you in the following ways:

Who we share the information with

We try to minimise the third-parties with whom we share your data, to minimise risk. However, there are a small number of external platforms which we use for the essential purposes of both transferring data between different systems and also for storing this data, in order to keep accurate records and to improve future interactions with our customers. This data could include a person’s name, company name, billing/shipping address, email address and telephone number. We do not have any record of debit/credit card details taken at the point of order as these are processed directly by Sagepay on their own secure servers – Sagepay’s privacy notice can be found here.

We also share a small amount of data (name & email address) with two email marketing services for sending relevant marketing emails. These are Mailchimp and Zoho Campaigns – from these we can gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our campaigns. When someone visits saic-uk.co.uk we also use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

  • The right to request your personal data is erased where it is no longer necessary to retain such data;

  • The right to request that we provide you with your personal data and where possible, to transmit that data directly to another data controller, (known as the right to data portability), where applicable 9i.e. where our processing is based on consent or is necessary for the performance of our contract with you or where we process your data by automated means);
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • The right to object to our processing of personal data, where applicable i.e. where processing is based on our legitimate interests (or in performance of a task in the public interest/exercise of official authority); direct marketing or processing for the purposes of scientific/historical research and statistics.)

To exercise any of the rights above, please send an email to [email protected] with a subject line of ‘Access/Correction/Erasure/Objection Request’ (delete where not applicable.) We will then respond in a timely manner. Please note – you will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable admin fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response. We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Site Security

We have 256-bit SSL encryption which keeps both our site and in turn, your data, secure. As part of our ordering process you may choose to enter your card details to make payment at the checkout, which will be processed externally by SagePay and stored on their own secure servers, and we do not store card details on our server in any form.
